How to create a Trak for your contracts

In Trakti, we've introduced the concept of a 'Trak'.
Trak allows you to incorporate tracking elements within the contract itself. These elements monitor key aspects such as milestones, deliverables, payment schedules, and compliance requirements.

You can create a Trak at two different stages:

  • During the drafting of your model/template, as outlined here.
  • After signing a contract with your counterparty.

This guide will walk you through the steps for creating a new Trak during the execution phase of a contract.

  1. Navigate
    to the “Contracts” section.
  2. Select
the signed contract with your counterparty that you wish to monitor with Trak.

Click on the “+” symbol to create a new Trak, then fill in the required fields according to your specific needs.

As shown in the image below, during the set up of a Trak or also editing an existed one you can:
  • Name your Trak
  • Choose the Type of Trak: delivery, payment or task
  • Set the time frame of your Trak
  • Configure the appropriate 'Visibility' settings; you can choose between 'Personal', the Trak will be visible only for you, 'Internal' the trak will be visible for all the member of your company in that deal, 'Shared' the Trak will be visible also for the counterpart.
By selecting the visibility 'Internal' or 'Shared' you can also assign the Trak to someone and select an approver.
  • Add a Checklist of tasks to further clarify your intentions, and also define the checklist item as 'Sub-trak' to a major traceability.
  • Request Proof of the execution of the Trak or of one of its Sub-traks, by checking the related tick in the form. If you ask a Proof it will be mandatory to attach relevant files or documents for the one who is carrying on the task.
  • Add Tags
  • Add related Files
  • Connect one Trak to others to create a link between different activities

Save now the Task as created.

The following picture shows an example of Trak:

The counterparty will receive an email notification informing them about the newly created task. Both parties will have the same view of the task’s status, progression, and overall situation.

When you return to your contract, you’ll see the Trak displayed, as shown in the image below.

If you have a Corporate Plan you can access all your Traks through a dedicated section in the menu.
Within the Trak Dashboard you have the possibility to create, view, edit and manage all your Traks.
